TERMS & CONDITIONS

At Planet G Food, we’re committed to making your event run as smoothly as possible. The following terms help ensure everything is clear and fair for both sides.

1. Amendments
We may update these Terms and Conditions from time to time. The latest version will always apply.

2. Travel & Fuel Surcharges
Due to ongoing increases in fuel costs:

  • Food truck services travelling more than 40 miles from Edinburgh (round trip) will incur a petrol surcharge of £0.65 per additional mile.
  • Catering services travelling more than 100 miles from Edinburgh (round trip) will incur a petrol surcharge of £0.60 per additional mile.

3. Guest Numbers
We understand plans can change. Final guest numbers can be adjusted up to 60 days before your event, as long as the change stays within ±10 % of the original booking, unless we agree otherwise.

4. Deposits & Payments

  • Deposits are non-refundable, as they secure your date and services.
  • The remaining balance must be paid no later than 60 days before your event.

5. Cancellations

  • If you cancel more than 30 days before your event, 50% of the total cost will be charged.
  • If you cancel within 30 days of the event, the full balance will remain payable.

6. Additional Costs & Liabilities
Any additional costs from third-party suppliers, such as cleaning, damages, lost items, or collection fees, will be the responsibility of the client.

7. Circumstances Beyond Our Control
While we always aim to deliver as planned, there are rare situations outside our control (such as severe weather, pandemics, fire, accidents, or similar events) that may affect our ability to provide services. In these cases, Planet G Food cannot be held responsible for any resulting costs or losses.

8. Pricing & What’s Included

  • Our pricing includes basic white china crockery. If you’d like something different, we’re happy to provide alternative options at an additional cost.
  • Prices do not include VAT, glassware, tablecloths, or linen unless stated. Tablecloths are included only with our buffet option, which includes setting up the table for you.
  • Table styling and decorations aren’t included as standard, but we can absolutely help arrange these if needed, just let us know.
